Three student leadership teams help manage and document Conference as an extension of the EAST staff: the Ambassador Team, the Documentation Team, and the Technical Support Team. These are great opportunities for active EAST students who would like to be more involved with Conference. EAST schools get to bring Leadership Team Members to Conference as a complimentary full access participation, in addition to their eight (8) students. Additional student travel and lodging expenses are the school's responsibility.

Team Member Requirements & Expectations

The Leadership Teams are vital to the success of Conference, so it is especially important that these students commit to being at the Conference for the entire event (from arrival through the Closing Session). By submitting the application and the facilitator nomination, both the student and facilitator acknowledge that attendance for the duration of Conference is required and will make plans to attend the entire event. If a student is selected for a team and later realizes that he/she cannot commit to being at the entire event, they are expected to forfeit their position on the team.

Application Requirements

All students interested in being on a team are required to submit the following:

  1. Complete the application(s) specific to the position(s) for which they wish to apply
  2. Create and submit any supplemental application requirements (i.e. video, photos, etc.) specific to the position(s) for which they wish to apply
  3. (OPTIONAL) Submit a signed Image Release Form (digital version or hard copy) for media purposes. Be sure to read the updated Image Release Form information.
  4. Submit a signed Parent / Guardian Permission Form so parents/guardians know what is expected of their students
  5. Have their facilitator complete a Facilitator Nomination Form

Team Retreat

Prior to Conference, members of all three student leadership teams will be required to attend a two-day overnight retreat at the 4-H Center in Little Rock, Arkansas Feb. 7-8, 2018. Students must be accompanied by an adult, whether it is the facilitator, parent or other chaperone.

This retreat is very important for training and team building, and team members must commit to full participation. By submitting the application and facilitator nomination, both the student and facilitator acknowledge this training is required and will make plans for the student to attend the entire retreat.

A special rate is offered to EAST guests which includes the sleeping room, all-day beverage service and four meals (Wednesday lunch & dinner, Thursday breakfast & lunch).

  • Anticipated student rate - $85
  • Anticipated adult rate - $135 (single occupancy), $115 (double occupancy) or $105 (triple occupancy)

Students who live outside the state of Arkansas and are not within driving distance are encouraged to apply. Arrangements will be made to work around the meeting requirement if selected for the team.

Ambassador Team

The Ambassador Team consists of EAST students who assist EAST staff in the countless details of such a huge event, including registration, scanning attendees for breakout sessions, greeting VIPs, interacting with the press, solving miscellaneous problems and assisting EAST staff as needed. Ambassadors are essentially the Conference hosts. They always have a smile on their face and a “can do” attitude. A select number of students, if interested, may also serve as speakers for the large group sessions.

Documentation Team

The Documentation Team is an asset to the EAST Initiative and consists of three teams - photography, video team, and social media - who work together to document and provide coverage of the Conference. A Team Leader is responsible for maintaining workflow for all the teams at Conference and ensuring the successful completion of each teams' projects. The Video and Photography Teams provide highlights that are hosted on the Conference website and as promotional pieces to promote and celebrate the event. The Social Media Team consists of Social Media Reporters who serve as the voice of EAST throughout Conference on the social media networks (i.e. Facebook, Twitter), and Live Stream Operators who manage the technical aspects for live streaming all general session events and floor coverage.

The Technical Support Team plays an important role in helping the Conference run smoothly. Team members work closely with the EAST Technical Support staff to assist in the set-up, support and break-down of equipment in all breakout sessions and provide technical support to attendees on the exhibit floor as needed. Being a part of this team offers a great behind-the-scenes view of what it takes to make the Conference a success.
